Meet Volunteer Positions
Shift Check-In
- 1st Shift: Check in at the volunteer board before the meet begins.
- 2nd Shift: Check in when you arrive. You are on duty at Event #44.
Announcer (Home Meets Only)
The host team provides the announcer and equipment (bullhorn/loudspeaker and order of events).
Responsibilities:
- Announce each event clearly so swimmers, officials, and spectators can hear.
- Stay about 3 events ahead of the race currently in the water.
- Do not speak while the starter is giving commands.
Standard Calling Format:
- First call: “Event #__, [age group & stroke]. Please report to the blocks.”
- Repeat for second call.
- Give a final call after a short pause.
The next event should always be ready on deck.
Computer Operators (Home & Away)
- One volunteer from each team.
- Enter official results from the Place Judge Form after each event.
- Maintain a running score.
- Teams may alternate by event group.
- The non-typing operator should double-check entries for accuracy.
Deck Manager (Home & Away)
- Each team provides one Deck Manager.
- Organizes swimmers in the ready area.
- Lines swimmers up by heat and lane.
- Ensures swimmers stay behind blocks until the starter takes control.
- Visiting team provides an assistant to help identify swimmers.
This role is critical to keeping the meet on schedule.
Bullpen Manager (Home & Away)
- Supervises bullpen parents.
- Helps move swimmers from bullpen to the deck for lineup.
Place Judge (Home & Away — One Per Team)
- Must have a clear view of the finish.
- Cannot serve as a timer in the same race.
- Records order of finish (not times).
- Place judges’ decisions override times.
- Starter/referee overrides in case of dispute.
8-Lane Pools:
- A third finish judge (home team) covers non-scoring places.
Judges Recorder (Home Only)
- Records official place finishes on the Place Judge Form.
- Marks “DQ” for disqualifications.
- Passes completed forms to the Master Recorder/Runner.
- Does not influence judging decisions.
- If there is a split decision from 2 place judges, tie break goes to meet official.
Master Recorder (Home & Away — One Per Team)
- Collects completed place forms.
- Gathers official times from each lane.
- Delivers completed forms to scoring table where computer operator(s) sits.
- Teams may alternate by event.
Timers/Recorders (Home & Away)
- Times are taken in every lane.
- Timer starts watch on starter’s signal.
- Stops watch when swimmer touches the wall.
- Must have a clear view of finish.
- Records times for Master Recorder.
If using automatic timing systems:
- One timer from each team per lane.
Bullpen Instructions (Home & Away)
Before the Meet
- Write swimmer’s name on back/shoulder with Sharpie.
- Write events on swimmer’s arm using this format:
E (Event) | H (Heat) | L (Lane) | Stroke/Distance
Example:
- 11 | 3 | 5 | 25 Free
- 33 | 2 | 3 | 25 Back
- 23 | 1 | 1 | 25 Breast
- 43 | 3 | 3 | 25 Fly
- Relay events: include swimmer position (1, 2, 3, 4)
Relay Orders:
- Medley Relay: Back, Breast, Fly, Free
- Individual Medley (IM): Fly, Back, Breast, Free
Additional Reminders:
- If a swimmer is not present by 4:15 PM, notify coordinators.
- Warm-ups:
- 4:15 PM (Home)
- 4:45 PM (Away)
- Swimmers must remain in bullpen until all events are complete.
- If leaving early, check out with a bullpen volunteer or coach.
During the Meet
- Begin lining swimmers up 3–4 events before their race.
- Swimmers must report to lane area early.
- If a swimmer is not in bullpen, they may miss their event.
Event Board (Home Only)
(Updated and maintained throughout the meet.)
Ribbon Workers
Timing: After the meet or the following morning at practice.
Responsibilities:
- Receive ribbon labels from computer team.
- Apply labels to correct ribbons.
- File ribbons in swimmer Family Folders.
- Attach time-drop stickers to certificates.
- Remain until end of meet to collect materials.
Sometimes ribbon labeling is completed the next morning at practice.
